As I sit here in Bora Bora, I can finally take a breath. It’s 6 pm. I have been trying since 5 pm to tear myself away from my cube so that I could take a few minutes to clarify my thoughts regarding our Content Management System.
Lest you think I am sitting on a beach, I should let you know that the Bora Bora I am referring to is actually a meeting room and also serves as the CEO’s office when he’s in town.

Serving Multiple Touch-points – Old School Tricks

As the old adage goes, “It costs more to find a customer than to keep a customer”. You can keep your customers satisfied by knowing them better and serving up the most appropriate content in the form that suits them best. In the old days, we could get by using manual means to manipulate corporate information into printed matter. Today, with the same cost constraints, we need to serve multiple touch-points with ever-increasing information and disclosures. Customers are also more sophisticated and less forgiving of organizations that throw a glut of information “over the wall” for them to sort through. Whatever we do here, it better be elegant and efficient.

There are many different perspectives around on what content management is and isn’t and what a Content Management system needs to do. According to that font of all knowledge, Wikipedia, “A content management system (CMS) is computer software used to create, edit, manage, and publish content in a consistently organized fashion. CMSs are frequently used for storing, controlling, versioning, and publishing industry-specific documentation such as news articles, operators’ manuals, technical manuals, sales guides, and marketing brochures. The content managed may include computer files, image media, audio files, electronic documents, and Web content.”

Every now and again, we’re asked a question like, “We’ve decided to move to XML. Can we use OpenXML instead of something like DocBook or DITA?” The question comes up because Open XML gets a lot of press. Open XML (or Office Open XML if you are going by its formal name) is an Ecma standard (Ecma 376) for representing electronic documents such as word processing documents, presentations, spreadsheets, and charts. A slightly revised version of the standard (some 6500 odd pages) has been submitted as ISO/IEC DIS 29500 (Draft International Standard 29500) and is a few resolved protests shy of approval. So it’s been in the news a bit.

You wouldn’t build a bridge or a house without a plan, why would you build your document set or website without one? All too often, it appears that that’s exactly what happens. Dead end links, confusing navigation, structure that appears to make it hard to find information and search engines that find everything but what the user is looking for abound.
At this year’s X-Pubs Conference, I’ll be presenting a pre-conference workshop and a conference session focused on the importance of Taxonomy and Information Architecture. Specifically, I’ll will be demonstrating how a well designed Information Architecture and a well thought out Taxonomy form the basis of a plan that allows you to design information products (documents, websites, help files, etc.) that meet the needs of your users.
